Administrative Assistant Job Description

RISE Charter School is an innovative, new school to the rural community of Kimberly, Idaho. Kimberly is a quintessential, small American town with a Main Street, old-fashioned store fronts, and the kind of community that takes care of each other. RISE Charter school was developed and commissioned by the Kimberly School District to offer a unique educational model that promotes critical thinking through project-based learning. RISE will be implementing the Summit curriculum to achieve this goal. This comprehensive curriculum is made up of projects and focus areas, and intentionally teaches skills that prepare students for success beyond academics including their social, emotional, and cognitive development.

We are hiring a receptionist/administrative assistant who will be the face of RISE Charter School as the first point of contact for the students, staff, parents and community. The successful candidate will be influential in supporting the positive culture of the school. We are seeking an individual who is organized, empathetic, optimistic and can communicate in a professional manner verbally and in writing. An Associates degree or equivalent experience is required of the successful candidate. Pay will be determined by experience.

The following is a list of responsibilities the job includes but is not limited to:

Front Desk Duties

  • Serve as the positive point of contact with RISE Charter School for the public, students and staff.
  • Answer incoming calls, provide information, direct calls where necessary and take messages.
  • Greet visitors, require proper identification, handle inquiries and direct visitors to the appropriate destination.
  • Keep track of student medications, dispense and dispose of as directed by school nurses.
  • Supervise student office aides

Filing systems and Database management

  • Set up and maintain filing systems for students and staff—paper and electronic
  • Enter information and maintain records in PowerSchool
  • Locate and attach appropriate files to incoming correspondence requiring a response
  • Locate and provide data to appropriate sources as needed

Student and Staff Attendance

  • Track student and staff attendance
  • Maintain accurate attendance records; submit reports as required
  • Verify parents’ and doctors’ notes and investigate discrepancies in attendance
  • Notify parents of student absences
  • Process and track staff leave requests
  • Welcome and situate substitute personnel for absent staff members

School processes and procedures

  • Manage school processes and procedures to ensure compliance with school and district regulations.
  • Enroll and withdraw students from school in accordance with the RISE Charter School procedures
  • Create and send offer letters to students eligible for admission to RISE Charter School and to non-eligible students according to the Idaho Charter School Administrative Code.
  • Maintain RISE Charter School waitlist for each grade level.
  • Assist parents and students in completion of registration process
  • Provide administrative support for processes such as student services, locker assignments, and activity forms.
  • Maintain disciplinary tracking systems and files in accordance with regulations.
  • Coordinate and monitor safety procedures to ensure student and staff safety.

Meetings and Events

  • Become familiar with board clerk handbook
  • Advertise monthly board meetings, executive sessions, and special meetings on the school website according to open meeting laws.
  • Create agenda for monthly RISE Charter School Board meetings; email to board members one week prior to the board meeting.
  • Create online attendance link, monitor online and/or in-person board meetings to ensure that equipment work properly and each member is heard as per open meeting laws.
  • Record RISE Charter School Board meeting minutes and publish in accordance with Idaho Open Meeting Laws.
  • Assist administration in managing community and parent events at RISE Charter School— including events in evenings or on Saturday.

Financial Duties

  • Prepare and submit bills; reconcile checking account
  • Calculate taxes and collect financial records and submit to accountant
  • Process purchase and orders and verify invoices
  • Prepare and process accounts payable
  • Track expenditures for budget purposes
  • Receipt and deposit all monies collected from staff

Reports

  • Report cards; mail and distribute to teachers; maintain honor roll and all A’s list
  • Gather and collate information to prepare data-related reports
  • Provide staff and stakeholders with accurate information regarding school operations
  • Produce reports in compliance with legal and administrative requirements

Communications

  • Prepare and distribute appropriate communications including newsletters, emails, and announcements—paper and online
  • Prepare a variety of documents including correspondence, agendas, event programs, reports, schedules and calendars.
